1. Can I attach an approval document or email while creating a booking in the Car Rental System?
Answer: Yes, while creating a booking, our system allows you to upload the approval document or email as a PDF or image. Even if you miss attaching the document at the time of booking, you can later attach it to acknowledgement slip.
2. What information is sent when a booking is dispatched?
Answer: When a booking is dispatched, the system sends the driver’s photograph, vehicle photograph, and duty slip. Links for the driver and vehicle images are also provided on the duty slip.
3. Can I send placard details at the time of dispatching a vehicle?
Answer: Yes, our system allows you to send play card details when dispatching a vehicle. You can choose between two formats: one displaying the company name prominently and another emphasizing the traveler’s name. By default, the company name appears in a larger font, but this can be manually adjusted per booking.
4. Does the duty slip show the driver’s location logs?
Answer: Yes, our duty slip displays the latitude and longitude information as an address every 10 minutes, providing a detailed driver log. This setting is company-specific, and the trip log on the duty slip will also show Google map location via points.
5. How are different trip segments differentiated on the duty slip?
Answer: On the duty slip, via points from the garage to the pickup point are displayed in a distinct color. The color scheme for the status of the booking from pickup to destination remains consistent with our previous system. Additionally, a different color icon indicates the segment from the drop point back to the garage.
6. Can vendors specify their garage’s kilometer information in the system?
Answer: Yes, vendors have the option to provide their garage’s kilometer details. This is not based on the company but on the vendor. Within the vendor manager, there’s a hub location feature. This hub location is used to calculate extra kilometers and generate invoices both for the company and the vendor.
7. What is included in the invoice provided to corporates?
Answer: When providing invoices to corporates, our concentrated invoice format includes a cover letter, attached email or approval document, acknowledgement slip, duty details, toll and parking receipts, multiple duty records, and Google map tracking, all consolidated into a single PDF file.
